D2L Purge Policy

March 1, 2016: The D2L archive/purge process has been suspended until February 2017 while new features for degree competency and learning analytics within D2L are being investigated.

All D2L course sites scheduled for archival in 2016 will remain available to instructors in the live D2L environment. All D2L course sites currently archived will remain archived until the archive/purge process resumes in early 2017; these course sites will NOT be purged until that time. D2L Course Purge/Archive Policy

The number of faculty using D2L as a course management system has grown steadily since its adoption in Fall 2005. Course materials in D2L course sites that have been generated over the years have created a tremendous need for additional storage and the purchase of several additional servers. A recent survey of faculty using D2L indicates that most faculty need course content from the two most recent years of classes. Therefore, UITS and OIA staff have collaborated in creating a D2L course site purge/archive policy. The goal of this policy is to archive course materials older than two years, and purge materials older than that to optimize data management processes and to better utilize available resources.

Data Affected:

  • Course Materials and Activities: Includes documents, articles, multimedia, etc. uploaded in Course Files or posted in Content as well as features of a D2L course site such as Discussion Forums and Topics, Submission folders, Quizzes and Quiz questions, Grade Categories and Items, etc.
  • Student Data: Includes grade scores, quiz attempts, submission folder data, Discussion posts, etc.

Timeline for Data Archival and Purge

Movement of data stored on the main D2L system will occur twice annually on the last Monday of each February and October. D2L data older than 2 years will be archived or purged in February and October of each year depending on the data type. Course sites less than 2 years old will remain on the live D2L system.

  • February Schedule
    • Course Materials and Activities from Fall and Winter course sites older than 2 years will be moved from the live D2L system to an archival area. (See chart below for dates and affected semesters.)
    • Student Data from Fall and Winter course sites older than 2 years will NOT be archived; these data will be purged. (See chart below for dates and affected semesters.)
  • October Schedule
    • Course Materials and Activities from Spring and All Summer course sites older than 2 years will be moved from the live D2L system to an archival area. (See chart below for dates and affected semesters.)
    • Student Data from Spring and All Summer course sites older than 2 years will NOT be archived; these data will be purged. (See chart below for dates and affected semesters.)

Accessing Archived D2L Course Materials

Once moved to the archival area, archived course materials and design elements will be kept for two years and can be made available as a zip file. You may request a copy of the archived zip file if you were listed in UAccess as a primary instructor for the course. If you were not listed as a primary instructor then an email from your department head granting you access will also be required. Once you have the archived file you can log import it back into a D2L course site that you have access to.

Instructors wishing to obtain a copy of an archival zip file should contact the 24/7 IT Support Center (see contact information below). The copy of the archived course file will be burned to a disk and will be available for pick-up by the instructor within two business days of the request. Instructors will need to provide the following information in order for the archived course to be retrieved:

  • Instructor Name, Phone Number, Email Address
  • Semester the course was offered
  • Department
  • Course Number
  • Section
  • Instructor that taught the course, if different than the requesting instructor
