1. Locate: Locate the Attendance tool

Find the Attendance tool on the course admin page

  1. Click on Course Admin on the navbar.
  2. Click on the Attendance link to enter the Attendance tool.

2. Create:  Build an attendance registrar or registrars

An attendance register is a grouping of class meetings and is the first step to use the Attendance tool.

For example, if you plan to track daily class attendance, you would have a single attendance register for Class Attendance that would contain individual sessions for each date your class meets.

  1. Click the New Register button after entering the Attendance tool (see #1 above).Image of the New Register button in the attendance tool

     

  2. Enter a Name for your attendance register.
  3. Use the Attendance Scheme drop down menu to select the attendance scheme you'd like your attendance register to use if you don't want to use the default.  The default is P (100%) for present and A (0%) for Absent.
  4. You may enter a Cause for Concern value if you choose.  If students attendance falls below this percentage, they will be flagged.
  5. If you would like participants to be able to view the attendance register, make sure the box to the left of Allow users to view this attendance register is checked.image of properties section after clicking new register button, name Attendance Scheme Cause for Concern, allow users to view this attendance register circled

     

  6. Enter names for each of your sessions. Typically these are the dates the class meets.
  7. By default, D2L provides you with three sessions for your attendance register. If you would like more than three, enter the number of additional sessions you would like in the Add Sessions field and then click the Add Session link.image of Users and Sessions section of the New register page,wihtSession name and Add sessions options circled

     

  8. Click the Delete icon to the right of a session to remove it from the attendance register.
  9. Click the Save button to save your attendance register.
  10. Click the Close button.

3. Edit: Make changes to an existing attendance register

  1. Click the context menu to the right of the attendance register (inverted triangle) you'd like to edit and select Edit Register.image of context menu of a register with edit register selected

     

  2. Make the desired changes (refer to section 2 of this page for more information about available options).
  3. Click the Save button.

4. Create: Define and apply a new attendance scheme

If you don't want to use the default scheme (present =100%, absent=0%), create your own custom theme.

An attendance scheme is used to determine what percentage of an attendance session a participant earns. The default System Scheme is fairly simple:

Present = 100%
Absent = 0%

But you can make the attendance scheme as complex as you'd like, using as many attendance statuses as you like. For example, if you are tracking daily class attendance and want to penalize participants for arriving to class late, your attendance scheme might look something like this:

Present = 100%
Tardy = 75%
Absent = 0%

To create an attendance scheme:

  1. Click Attendance Schemes located at the top of the screen.
  2. Click the New Scheme button.
  3. Enter a Name for the attendance scheme.
  4. Enter the Symbol you would like to appear when entering attendance data for each attendance status (i.e., T).
  5. Enter the Status Full Name for each attendance status (i.e., Tardy). This allows you to provide more description for each status. 
  6. Enter the Assigned % for each status (i.e., 75%).Screenshot of New Scheme page
  7. By default, D2L provides you with three attendance statuses for your attendance scheme. If you would like more than three, enter the number of additional statuses you would like in the Add Statuses field and then click the Add Statuses link.
  8. Click the Save button to save your attendance scheme.
  9. Click the Close button to return to the Attendance Schemes page.

To apply the new scheme to a register:

Note: Changing the attendance scheme for an existing attendance register will PERMANENTLY delete any attendance data you may have entered for participants.

  1. Click the context menu to the right of the attendance register (inverted triangle) and select Edit Register.
  2. Use the Attendance Scheme drop down menu to select the desired attendance scheme.
  3. Click the Save button to save the changes.
  4. Click the Save button on the confirmation window that opens.

5. Delete: Remove an attendance scheme from your course

  1. Make sure you're on the Attendance Schemes page.
  2. Click the down arrow to the right of the attendance scheme you'd like to delete and select DeleteScreenshot of the Delete Scheme option

    Note: If the Delete option is not available in the menu it is because the attendance scheme is connected to an attendance register and you will need to first disconnect the attendance scheme from all attendance registers.  Please refer to section three above to apply a different scheme to the register.

  3. Click the Delete button on the confirmation window that opens.

6. Manage: Enter attendance data

Learn to enter student attendance data.

  1. Click the down arrow to the right of the attendance register you want to enter attendance data for and select View Attendance Data.

  3. Use the Attendance Status drop down menus to enter attendance data for each participant.
  4. Click the Save button to save your changes.

 

To enter the same attendance data for for selected participants:

  1. Click the down arrow to the right of the attendance register you want to enter attendance data for and select View Attendance Data.

  3. Check the box to the left of the name of each participant you'd like to enter attendance data for.
  4. Click the Set Status link located at either the top or the bottom of the list of participants.
  5. Use the Status drop down menu to select the desired attendance status. Screenshot of status icon and dropdown menu

     

  6. Click the Save button on the Set Status for Selected Users window.
  7. Click the Save button on the Set Attendance Data screen.

  To enter attendance data for all participants:

  1. Click the down arrow to the right of the attendance register you want to enter attendance data for and select View Attendance Data.

  4. Use the Status drop down menu to select the desired attendance status.
  5. Click the Save button on the Set Status for All Users window.
  6. Click the Save button on the Set Attendance Data screen.
